BOOKING CONDITIONS

MUST READ BEFORE BOOKING

All the fine print that you don’t really want to read but you know it’s important.

PAYMENT

Once you have made a booking on a Grasshopper Adventures day tour and your booking is confirmed you will be required to make a deposit payment to Grasshopper Adventures within 5 days of making your booking and full payment must be made 48 hours in advance to secure your booking. Failure to pay the booking fee will mean your place will be available to other potential customers.

TOUR INCLUSIONS

Each Grasshopper Adventure includes different services in terms of included activities, meals and transport. These details are included on the tours web page. Grasshopper Adventures reserves the right to change inclusions as listed due to operational or other factors.

CANCELLATION POLICY & RAIN

Do not assume that the tour is canceled because it is raining outside. It is quite common that it can be raining in one part of the town and not raining in another. So if it’s raining at your hotel don’t assume it is raining where you will be cycling.

Be prepared to get wet! We do not provide any rain coat due to hygienic reasons, so please bring your own lightweight jacket with you. It is possible to purchase plastic disposable ponchos however we do not recommend this as they are terrible for the environment! If it’s raining hard, we will seek shelter, if its a shower, it will pass and we will dry off!

Should it be raining in the morning of the tour, we will generally still proceed as the rain usually clears around dawn. If heavy rain and risky conditions persist for more than 1 hour after departure time we will cancel the tour.

CANCELLATION BY YOU

Should you (the client) choose to cancel a booking, Grasshopper Adventures must be notified in person, by call or by email.

The following cancellation fees apply for our day tours:

  • More than 7 days before departure, full refund of deposit
  • 2 to 6 days before departure, loss of 50% of deposit.
  • From 48 hours before the tour starts, loss of all payments made.
  • Turning up late to the starting point of the tour for whatever reason is considered a late cancellation and will result in a loss of all payments made.
  • No refund will be made should you voluntarily leave a tour early for any reason, including not being of adequate ability to ride a bicycle at a sufficient level to do the tour.
  • Note, in some cases the deposit may equal the full value of the tour

HELMETS

It is required that a bicycle helmet be worn by all cyclists when riding a bicycle throughout a Grasshopper Adventures bicycle tour. Failure to wear a helmet will result in the customer not being allowed to cycle as a part of the tour program.

ITINERARIES

Grasshopper Adventures reserves the right to change advertised itineraries before or during a tour in the interests of safety resulting from war, disease, natural disasters, safety, or changed local conditions. The tour leader or guide during a tour has the right to make any necessary changes to the itinerary for the reasons listed. Any client not adhering to changes made for these reasons will be deemed to have left the tour and is no longer under the care of Grasshopper Adventures.

INSURANCE

It is a condition of participating in a Grasshopper Adventure that each traveler holds travel insurance. On all our Bangkok day tours basic medical insurance is included in the tour so it is not a requirement to hold travel insurance for these tours.

PERSONAL RESPONSIBILITIES

Due to the nature of the style and locations that Grasshopper Adventures operate in, Grasshopper Adventures and their guides, leaders, and support staff do not accept responsibility for any loss, injury, illness, damage, accident, fatality, delay or inconvenience experienced from time of departure to time of return arising out of any such adventure trip organised by Grasshopper Adventures.

Bikes & Equipment Liability: Any loss or damage to bikes, e-bikes and/or other tour equipment, resulting from improper use and/or failure to follow instructions with regards to safety and operation, will be charged to the customer to the equivalent value of the repair or replacement costs.

PAYMENT

The main payment for any Scheduled, Family, Self-guided or On-request tour is due 2 months before the tour starts. Bookings made less than 2 months before the tour start date will require full payment once a booking is confirmed.

For our Bike & Boat scheduled group tours (such as Mekong Bike & Boat Adventure), payment of the full balance is due 90 days before the tour departure date. This is due to the the conditions placed upon us by ship operators. For Bike & Boat tours cancellation by the customer 90 days or less before departure will result in full loss of payment.

CHANGES TO YOUR BOOKING

Enhanced booking conditions effective from 11 Mar 2020. 

HIGH FLEX 

These terms apply to bookings where only the deposit has been paid and the guest wishes to amend the date on which the tour will be taken. 

Note that if the balance of payment has been made or the full payment was made at the time of booking, EXTREME FLEX applies (see next section). 

Change permitted under HIGH FLEX:

  • The date on which you will take the tour
  • The tour program (you can move to a different tour)
  • The destination country of the tour

You can make a maximum of two changes under High Flex and these changes must be made before the 60/90 day cut-off dates. 

You must take the tour within 12 months of the original booked tour date. 

Once amended, a confirmation will be provided to you. 

You will then be invoiced for the balance of the tour 60 or 90 days before the new tour start date

If you are uncertain as to when you will be able to travel, we will issue a credit voucher for the full value of the deposit paid by you, with a validity period of 12 months.

To re-book a tour using a voucher, simply contact our Reservations Team 

If the tour or departure date to which you are moving is a higher price than the tour you are moving from, we will require you to make payment of the difference at the time of the change

If the tour or departure date to which you are moving is a lower price than the tour you are moving from, we will issue a voucher for the difference in price with 12 month validity. 

Where a voucher is issued, we do not guarantee the tour price until you have re-booked using that voucher. Once you have re-booked, the published tour departure price at the time of booking applies. 

EXTREME FLEX

IF you have paid for your tour in full, either at the time of booking, or by deposit and balance installments, then you will be eligible for EXTREME FLEX terms. 

Changes permitted:

  • The date on which you will take the tour
  • The tour program (move between different tours)
  • The country/destination in which you will take the tour

You can make an unlimited number of changes under High Flex and these changes can be made up to 31 days prior to the tour departure date. 

The tour must be taken within 24 months of the original booked tour date.  

If you are uncertain as to when you will be able to travel, we will issue a credit voucher for the full value paid by you, with a validity period of 24 months

To re-book a tour using a voucher, simply contact our Reservations Team 

Where a voucher is issued, we do not guarantee the tour price until you have re-booked using that voucher. Once you have re-booked, the published tour departure price at the time of booking applies. 

If the tour or departure date to which you are moving is a higher price than the tour you are moving from, we will require you to make payment of the difference at the time of the change

If the tour or departure date to which you are moving is a lower price than the tour you are moving from, we will issue a voucher for the difference in price with 24 month validity. 

For private groups, please note that we will require the whole group to make changes as a group. Where the group size reduces due to a change, a re-price of the tour may be required.

For tours that require a deposit payment:

For tours that require full payment to book the tour:

  • More than 60 days before departure, loss of 50% of payment
  • 60 days or less before departure, no refund.
  • No refund will be made should you voluntarily leave a tour early.
The following cancellation fees apply for our On-request and extension tours:
  • More than 60 days before departure, loss of deposit
  • 60 days or less before departure, no refund.
  • No refund will be made should you voluntarily leave a tour early.
The following cancellation fees apply for our Self-guided tours:
  • More than 60 days before departure, loss of deposit
  • 60 days or less before departure, no refund.
  • No refund will be made should you voluntarily leave a tour early.
The following cancellation fees apply for our Bike & Boat scheduled group tours:

For tours that require a deposit payment:

  • More than 90 days before departure, loss of deposit.
  • 90 days or less before departure, no refund.
  • No refund will be made should you voluntarily leave a tour early.
The following cancellation fees apply for any extra bookings such as hotels and transport bookings (excluding flights):
  • More than 60 days before departure, loss of 50% of booking cost
  • 60 days or less before departure, no refund.

The following cancellation conditions apply for our any extra flight bookings:

Every airline has different booking conditions so refunds on flights is dependent on what we are able to achieve. Any money refunded will be subject to service fees to be determined by Grasshopper Adventures.

CANCELLATION BY GRASSHOPPER ADVENTURES

In the event that Grasshopper Adventures cancel a trip, notification will be given no less than 60 days before the departure date of the trip. Grasshopper Adventures will return all money paid for the trip cost.

Please note this excludes cancellations due to conditions outside of Grasshopper Adventures control, such as war, natural disasters, political instability, disease, flight or transport restrictions, border and entry closures or other such event outside the control of Grasshopper Adventures. In such an event Grasshopper Adventures will not provide cash refunds, but will provide credit vouchers to the value of the refundable portion of the tour, and provide flexibility on tour re-booking.

Any further claims need to be arranged with a travel insurance provider. In all instances Grasshopper Adventures are not liable for any purchases paid outside of the tour costs, including flight ticket purchases.

Insurance must include comprehensive medical and emergency evacuation. Your travel insurance details will be checked by your Group Leader on arrival at the starting point hotel.

Release of Liability 

These tours are operated by Grasshopper Adventures (GA), who have made travel arrangements as agent for the transportation carriers and other suppliers (SP’s) of services connected with the tour, some of which are independent contractors. GA does not guarantee or assume responsibility for the acts and/or omissions of SP’s, their employees, agents, contractors, etc. All bookings are accepted subject to the conditions imposed by SP’s and GA, including airline, cruise line, rail, coach, hotel, restaurants, insurance, and other companies, firms or persons concerned with the trip, and all customers agree that neither Grasshopper Adventures, nor its employees, agents, or representatives are or may be liable for any loss, injury, or damage to any tour participant or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of Grasshopper Adventures.

Grasshopper Adventures is not liable for any negligent or willful act or failure to act of any such person or entity, or of any other third party. We cannot accept responsibility for losses or additional expenses due to delay or changes in airline or other transport services, sickness, weather, strike, war, quarantine, acts of God or other causes beyond the control of Grasshopper Adventures. All such losses and expenses will have to be borne by the passenger, as all amounts paid provide only for arrangements for the time stated. All published itineraries are subject to change, which would not be cause for a refund.

Grasshopper Adventures reserves the right to amend typos and misprints in pricing and other trip information. We reserve the right to decline to accept or to retain any person as a member of a tour, or to require a participant to withdraw from the journey at their expense when such an action is determined by staff to be in the best interest of the participant’s health and safety, and that of the group in general. No refund will be made for unused portion of any tour. Grasshopper Adventures does not accept liability incurred by the purchase of a non-refundable airline ticket.

PRIVACY STATEMENT

Some of the personal information Grasshopper Adventures collects with your booking may be provided to third-party suppliers. This will only be done where required (eg. reservations, booking flight tickets, permits, hotel bookings in some countries, redemption of promotions).

Your personal details will not be sold to anyone!

ACCEPTANCE OF CONDITIONS

By payment of your booking deposit you agree to the above terms and conditions as read.

Grasshopper Adventures is an Associate Member of the United States Tour Operators Association. However, Grasshopper Adventures is NOT a participant in the USTOA $1 Million Travelers’ Assistance Program and is not held by USTOA to certain other standards required of Active Members.
